1. What is the purpose of Digi-Flow?

Digi-Flow has been developed for universities, colleges, licensing authorities or employers i.e any organization or an Issuing Authority (IA) which issues certificates or documents which require verification or validation at a later stage. Digi-Flow is a secure web platform through which a requestor (alumni, employer or an agency on behalf of the alumni or the employer) can access the verification information online 24/7/365. Digiflow validates the correctness of the document being verified either instantly tin case the database is hosted by Digiflow or within 7-14 days in case of online uploading of document and verification by IA official through Digiflow.

3. How long does it take to get the verification through Digiflow?

Scenario One : IA Database hosted in Digiflow

As mentioned in the special instructions for the IA, if the portal hosts the database of the ex-alumni information, the requestor has to enter the mandatory details like the candidates name, roll/seat/registration number, year of passing out etc. as per the information available on the certificate being verified. The data will then be matched against the database for an instant result and auto generated verification report.

The requestor should fill up the data carefully to avoid mismatches due to typing errors by the requestor. Any typing error in critical identification fields like a student identification number, roll number or registration number will instantly lead to a “Not Verified” status

In case of a Partial Mismatch in one/two of the fields like name and year of passing out etc, two additional attempts will be provided to the requestor which will be notified through an email along with a token number to bypass the payment step. Requestor’s failure to fill in correct information after the two attempts will lead to a “Not Verified” status.

“Not Verified” Status will thus be generated by the system for a complete mismatch or partial mismatch failure after two attempts.

However, the requestor will still get an option to share a scanned copy of the certificate through Digiflow which will be forwarded to the IA officials for a manual verification through their records. If found correct, the requestor will receive an email alert to log in to their Digiflow account and download the updated verification report with change of status

If the uploaded document is not found genuine or correct by the IA official, an email with a Rejected status will be received by the requestor.

Scenario Two : IA Database not hosted in Digiflow

In case the portal does not host the IA database, the requestor will have to upload a scanned copy of the document to be verified through Digiflow (Maximum file size ____which will be verified by the IA official through an online process within 7-14 days. File formats accepted by the system are ___________________________________________

Once verification is completed by the IA officials, the requestor will receive an email alert to log in to their Digiflow account and download the verification report.

In case the document uploaded by the requestor is not adequate, the IA official will initiate a status of “Additional Information Required”. An email alert for the same will be forwarded to the requestor. In such cases, the requestor will be required to upload scanned copy (s) of the additional documents through his Digiflow account. These will be checked by the IA officials before giving out the final status of the report.

5. What benefits does Digi-flow offer to verification agencies?

A verification agency seeking verification on behalf of alumni’s or employers can upload multiple documents from different universities or candidates at the same time on the Digiflow web portal thereby saving time.

7. How is DIGIFLOW different from its competition?

2. How does one request for verification through Digi-flow?

A requestor is expected to follow the following simple steps:

Step 1 – Sign Up:

Setting up an account is simple and easy. The requestors create a username and password, and provide some basic details about themselves/their organization. These details are required for identification purposes and to ensure compliance to the data protection legislation. These personal details will not be shared with any third party.

Step 2 – Request Verification:

Fill in the necessary information as per the steps defined in the portal. For database verification, the requestor only fills in the necessary data fields. For IAs where the database is not hosted by the portal, requestor uploads the document to be verified through Digiflow

Step 3 – Upload letter of Authorization (If required)

If this is a mandatory requirement from the IA, Please upload a scanned Letter of Authorization duly signed by the applicant as per format available in the process.

Step 4 – Payment:

Please make the online payment as per your choice of payment methods to complete the process.

Step 5 – Confirmation

Once the payment has been completed successfully, the system will give a confirmation for the same along with an option to download the receipt for payment.

The requestor will then be guided to the status of his request.

Various Status of Requests and their implications

Verified This status depicts that the information/document (As per scenarios explained below in FAQ Number 3) has been verified and found matching with the records of the IA. This status will also have a download icon next to it to enable downloading of written verification report by the requestor.

Not Verified This status depicts that the information/document (As per scenarios explained below in FAQ Number 3) has been verified and found Not Matching with the records of the IA. This status will also have a download icon next to it to enable downloading of written verification report by the requestor.

Partial Data Mismatch This status depicts that there is partial mismatch of data entered by the requestor. The requestor needs to take action as explained in the Scenario One of FAQ number 3 below.

Additional Information Required As explained in scenario number two in FAQ Number 3 below, this status depicts that the document uploaded by the requestor is not adequate for the IA official to provide conclusive verification. Additional documents as intimated to the requestor on a separate email are required to be uploaded by the requestor through Digiflow.

4. What benefits does Digi-flow offer to a requestor?

Digiflow offers a “one stop shop” for a requestor (individual or an agency) for an online verification from the issuing authority. Depending on the availability of IA database, the verifications can be obtained instantly or within a stipulated period of time.
